Consent and terms of use

1. Contact Information

This statement concerns exercise registered on the website www.avantasaktiv.no, and the corresponding Apps "Avantas Aktiv" and "Avantas Coaching".

Your employer is controller for the personal data collected and processed by Avantas Aktiv, in order to offer the motivational program. See your employer’s privacy policy for contact info, contact info to data protection officer, and extended information on how your personal data are being processed.

2. Purpose of the data processing

Your employer has made you an offer to participate in a program to stimulate physical activity and strengthen the working environment through teambuilding. The basis of the program is that everyone exercises just as you please, and log this using the Avantas Aktiv diary or app. There, your activity is converted to points, which you score on behalf of your team.

Anonymous data regarding average activity level among all employees, and the standings in the team competition, will be used by your employer to highlight the project internally at your job. In addition to scoring points for your team, the diary contains functionality that makes it even more motivating for you to keep track of your activity and your development.

3. Legal basis for processing

The usage of the service is voluntary, and your personal data will only be processed if you give your consent to this. You may withdraw your consent at any time.

4. What data do we process?

We collect this personal information:

E-mail
Phone number
Name
Age
Gender
Picture (optional)

For one specific workout, we collect the following:

Type of activity (e.g. walking, cycling, swimming)
Duration of the workout

In addition, the user may voluntarily enter:

Distance
Rating of the workout
Intensity
A personal comment

For workouts registered using the App, you may also choose to collect the following data:

Distance
Average speed
Maximum speed
Elevation gain
When the workout took place

To have these data collected, you must actively choose it in the app.

Please note that the combination of all this data may be designated specific categories of personal data, more specifically health data.

5. Processing personal data

When you register a workout, you will receive a score based on your activity. The score for a given workout is based on four factors: Type of activity, duration, your age and your training category. The score will be visible for the person or persons responsible for the motivational program among your colleagues.

The training category is a background profile you receive by answering 8 questions regarding physical activity during the registration process. None of the answers are saved.

The average value is used to place you in one of three training categories: Exerciser, Enthusiast or Active. Your training category is only visible to yourself, and you may change at any given time.

Within your team, the following information will be visible for colleagues belonging to the same team:

First name and surname
Accumulated score per month, with max score at 1000 points.

Anonymous data may be used by Avantas Aktiv for analyses, research and product improvement. The data will contain no personal information at all, and will be impossible to trace back to individual users.

7. How we collect data

There are three ways to log a workout:

By logging manually on the website or in the app
By tracking a workout live using the app
By synchronizing data from a third party provider

No data is synchronized from Avantas Aktiv to other parties. Data saved with a third party provider is subject to this provider’s privacy policy.

8. Security routines

Avantas Aktiv has routines for notifying your employer who is responsible controller, should we discover any security breaches that may have consequences for personal data.

9. Your rights

You have the right to demand insight into the processing of your personal data, to have these corrected, deleted, the processing restricted, to protest against the processing, portability, and to complain to the Data Protection Authority if you believe the processing of your data happens wrongfully. You also have the right to withdraw your consent to the processing.

10. Deleting data

All personal information will be automatically deleted maximum six months after closure of the user account. All information about physical activity may be changed and deleted by the user. Personal information may be changed by the user at any given time. The user has the right to terminate his or her account on www.avantasaktiv.no and avantasaktiv.com at any given time, and have all personal information deleted.

11. Disclosing data to third parties

Responsible data processor for Avantas Aktiv is Bennett Reklamebyrå AS. All collected data is handled and saved in Microsoft Azure, encrypted and secured with three firewalls. More information about Microsoft Azure can be found here: https://azure.microsoft.com/nb-no/overview/trusted-cloud/.

Avantas Aktiv does not disclose personal information to third parties.

Avantas Aktiv does not process or store personal information outside the EU.
